Documents
An electronic file that is stored in your "Briefcase" in your profile or within a folder of community. IGLOO stores, audits (maintains document information such as document details, number of versions and properties) and controls access to documents.
Every object retains meta-data such as author, title, organization, publisher, sponsor, date, type, theme, location, etc. This meta-data is fully searchable using the search box at the top of most communities.
Using the Action Button you can perform several actions associated with a document. The list of actions available to you are based on your permissions.
Documents are displayed online using Flashpaper. Flashpaper currently can render documents in Word, PDF, PowerPoint, Plain text, Excel, Text, and CSV formats. You can also download documents by clicking the download button (found near the document's meta-data).
Reservation:
Documents being worked on by a group of users can be reserved (or locked) to indicate to other users that the document is currently being updated. Only users who have reserved a document can upload new versions. Members with the proper access can take over the document's reservation which automatically notifies the reservation owner by email.
Accessing Reservation:
Reservation is available on documents in the workarea. Users will Full perm levels will be able to access the Reserve action from the drop down menu and through the versions link on the document details page. Users with Write perms will only be able to access the action from the document details page.
Reserving a Document:
Once a user reserves a document three things change on the page:
- Success message on reservation with a download link
- The document icon has a 'lock' on it
- Reserve action changes to Release
Reserving a document locks the ability for other users to add version to that document. All other actions can still be performed including rename, move and delete.
Releasing a Reservation:
Wherever a document is reserved it can be either released (by the owner of the reservation) or taken over (by another user).
The reservation owner will see a message on the document details page (above rating) with the associated action to release the reservation:
Other users will see a slight differently message in the same place indicating who has reserved the document with the associated action to take over the reservation:
Steal Reservation Message:
Users can now provide an optional message when taking over a document reservation. The message is emailed to the user who first reserved the file, providing them with context as to why their reservation was taken over.
Notifications:
If a a lock is taken over by another user, the reservation owner receives an email informing them of the change of 'ownership'.
Tips and Tricks
- Click on the image of the person who loaded the document to see other items they have recently posted and to view their profile.
- Maximum file size is 30 meg regardless of file type. This applies to individual files or bulk uploads.
- Before uploading documents from Microsoft Office we recomend those with Office 2007 to save their documents to Office 2003 format. While Office 2007 is fully supported by Flash Paper (enabling anyone to view an Office 2007 document online), some people do not have Office 2007 yet, which would prevent them from opening a downloaded Office 2007 document.

Is there a way I can have someone publically upload a document? As in, can I make a folder public and then have a non-member upload to it?
Jeff
No, to interact with a community in any way a user must have atleast membership status. This prevents abuse and allows for tracking.
