Access (Permissions)

Access allows for the control of a group or members permissions to a page, document or file (documents, folders, forums, etc). To set an object's access click on the action button and select "Access" from the drop down. (On a page it is in the top corner of the page under the navigation)

Here you can create rules for which groups or individual members can view or alter the page, document or file.

  • None: The specified community member or group cannot view or access the item.
  • Read: The specified community member or group can view the item. If the item is a document, specified users can also download the item. If the Item is a blog or wiki, specified users can add comments.
  • Write: The specified community member can add new content but can't modify, move, delete, change the access requirements for the item or view the item's audit trail.
  • Edit: Allows you to do everything that Full (below) does but delete the document
  • Full: The specified community member or group can perform all available actions on the item.
Note:
  • To set access levels to an object a user must have "Full" access themselves
  • All administrators automatically have "Full" access
  • By default any member who adds an item has "Full" access to the file or folder added

Reminder: Permissions are inherited from a parent item -  if a member creates a folder they will automatically have Full access to everything put inside that folder unless access is specifically changed.

When assigning access you can search for groups or members. When on the members tab your search (located in the top right) will search groups, likewise when you are viewing members you may search for member names.

 

How to Use Permissions

By specifying permissions to users & groups you can manage access to areas within your community (i.e. give permissions to a particular group to access a folder while restricting access to everyone else). Decentralize community administration allows you to assign a member or group full permissions to an area within your community such as "Forums" letting them manage this section for you.

Setting General public has No Access - Items can be private or public.  By default everything inside a private community is marked as private and the general public has no access

Note:
  • Apply to everything under this page: Cascades the rule to all subitems and sets it as their default.

Forums and Blogs have different permissions which allow you to control both contributions and creations. 

By default the premissions level granted to creators of content is "Edit". This means if a member who can post blogs and forum posts post something he can edit his/her own post. They cannot however do this to any other users posts.

I'm looking for the Access option on the action button.  I see edit, lock, delete, advanced, activity, and subscriptions.  Am I looking in the wrong place?  I need to close groups for private discussions.

Yes, by the menu you have described you are trying to set access for an individual forum post. You can only assign permissions to a forum channel. Then all posts in that channel take on those rules. This allows you to have private or restricted forum channels where all posts in them can be kept seperate.

Is there a way to set permissions separately for folders and the documents within them?  I'd like to be able to lock the folder structure without preventing users from uploading documents.

You can set documents to have different permissions then the folder yes.
However you cannot have the default for documents to be different.

I can resrict access to existing files but any new files uploaded will take on the permissions of the folder.

We will be intorducing more features to permissions in an upcoming release to allow you to create this drop box like effect when users can deposit files but not see other files in the folder.
